DNUG Spring Conference 2012 in Dortmund Exhibitor Information and Application Forms1. Stand Booking
Booking an exhibition stand as a DNUG member or guest, you can choose between the categories mentioned below. Alteration of stand category is excluded.
Please avoid replacing stand staff. As of 2012-06-04, a processing fee of 25.00 EUR will be charged for it.
Your stand staff and your service providers are to be informed on the contents of the exhibition contract.
2. Exhibition Fees
All given prices are net and will be charged plus statutory VAT.

*) The minimum space that you have to order is 3 sq meter.
**) The exhibition stand has to be staffed with at least one person on June 12 and 13.
DNUG grants 5% discount for all bookings by 2012-01-31.
All companies that participated as co-exhibitors in the DNUG Pavilion at CeBIT 2012, get another 5 % discount.
Discount rates for the exhibition and those for the sponsoring activities are not combinable.
Please pay the exhibition fee after receipt of the invoice, by 2012-04-10 at the latest. Your exhibition stand/stand area is booked for you only after payment.
Claiming member conditions presupposes payment of membership fees!
3. Cancellation
Until 2012-04-10, DNUG will charge a processing fee of 500.00 EUR for cancellation of the contract by the exhibitor. In case of cancellation after this date, the exhibition fee - processing fee deducted - can only be refunded, if another company could be acquired as exhibitor for the stand.
4. Scope of Services
4.1 Stand Design and Equipment
4.1.1 DNUG Exhibitor Package
The DNUG shell scheme stands will be equipped as follows:
- Standard electric power connection including an extension lead
- 1 spotlight for illumination of the stand
- 1 display wall
- 1 sideboard, lockable
- 2 bar stools
- 1 brochure display rack
- 1 wastepaper basket
- 1 tft monitor, 16:9 display
- Lettering according to model poster layout
Based on the model poster layout, the exhibitor provides the ready-to-print data for the poster printing. Production and attachment of the poster at the stand by DNUG.
4.1.2 Individual Stands
The size of the stand space for use of own stand equipment has to be approved by the organizer (Minimum depth: 1.50m, minimum area: 3.00 sq meters).
The height of all stand constructions is limited to 2.50m.
Standard electric power connection is provided for each stand. The individual stands are not equipped with any furniture free of charge. Required equipment can be ordered and has to be paid separately. We will be pleased to send you the order form on request.
4.2 Stand Staff
The exhibitor has to staff the exhibition stand with at least one person on June 12 and 13.
All people registered as stand staff are
- included in the catering of the conference
- entitled to attend the keynote speeches of the conference and
- invited to the evening event on June 12th.
One member of the stand staff per stand will receive a full conference badge allowing him to attend the conference sessions. All other stand staff will receive exhibitor badges with access to the exhibition area only. Should they wish to attend the sessions, they will have to register as attendees of the conference. The corresponding price categories for members/guests depending on the date of registration are valid.
Special terms are valid for companies acting as Conference Sponsor.

5. Terms of Use
5.1 Use of the DNUG Exhibitor Package
For the graphic design of the stand, only the display wall provided with the stand construction and the above mentioned poster are to be used. The use of own equipment (furniture, brochure display racks or the like) and of own design elements (displays, roll up banner stands, trade fair systems, additional posters etc.) is prohibited by contract.
All equipment and furniture has to be placed within the rented stand space. The use of additional areas as extension of the stand or for promotion activities has to be discussed well in advance and is allowed only with the agreement of the organizer. The use of additional stand space is liable for costs.
5.2 Use of stand Space with Own Stand Equipment
All equipment (furniture, brochure display stands or the like) and design elements (displays, roll up banner stands, trade fair systems etc.) have to be placed within the rented stand space. 5.3 Liability
All provided equipment has to be handled carefully and according to its use. The exhibiting company is liable for damages incurred - also for damages to equipment, furniture or parts of buildings of the conference center.
5.4 Further Contractual Documents, Stand Layout and Exhibition Plan
With the contract you will receive the form “Preparation and Organization”, which constitutes part of the contract, a plan of the exhibition area and a drawing of a model stand. Final assignment of the stand will be effected by DNUG in accordance with the interested company.

The “Exhibitor Guidelines”, which will be sent to you later, contain all organizational information.
